Privacy Policy

What we collect, why we collect it, who else touches it, and how to make us delete it. Written to be read, not to be scrolled past.

The short version

We collect what you type into our forms, plus anonymous usage statistics about how visitors move through the site. We do not sell or rent your information, and we do not share it with anyone except the handful of vendors listed below that we need to run the business. If you want your data gone, email privacy@mcleanaisolutions.com and we will delete it.

Who we are

McLean AI Solutions is an AI consulting practice based in Wilmington, North Carolina, USA, serving businesses across North Carolina and remotely nationwide. This policy covers mcleanaisolutions.com and the services we deliver through it, including the client portal.

What we collect

Everything below is information you choose to give us. There is no hidden collection layer.

Contact form

Your name, email address, business name, and whatever you write in the message field. We use it to reply to you and to keep a record of the conversation.

Newsletter

Your email address, plus which page you subscribed from. We use it to send the newsletter and nothing else. Every issue carries a one-click unsubscribe link, and unsubscribing removes you immediately — we do not keep a “suppressed but still stored” marketing profile.

AI Opportunity Finder

The Opportunity Finder asks about your industry, team size, revenue band, where your team loses hours, your current tools, and your budget and timeline. Two things to know:

  • You can complete it without giving us anything. Your answers are computed in your browser and your report appears without an email address. Nothing is sent to us at that point. Your progress is saved in your browser's local storage and in the page URL so you can bookmark or share the report — clearing your browser data removes it.
  • If you ask us to email you the report, we then receive your email address along with the answers you gave and the results we calculated. That is the only point at which your diagnostic answers reach us.

The revenue and hours figures are self-reported estimates for a savings calculation. We do not ask for and do not want your actual financial records, bank details, or customer data.

Client portal and engagement accounts

If you become a client, we create an account for you. Signing in uses a one-time link sent to your email — we never store a password. The portal holds the documents and materials for your engagement, and a session cookie that keeps you signed in.

Server logs

Our hosting provider records standard request data — IP address, timestamp, page requested, browser user-agent — for security and reliability. This is ordinary web-server logging, not analytics profiling.

Anonymous usage analytics

We use Google Analytics (via Google Tag Manager) on the public pages of this site to understand which pages people visit and how they found us — aggregate counts, not profiles. It runs only on the marketing site: the client portal and signed-in areas are not tracked. We do not send Google your name, email address, or anything you type into our forms; the events we record are of the kind “a contact form was submitted,” never its contents.

What we do not do

  • No advertising pixels or cross-site tracking. Beyond the anonymous usage analytics described above, there are no advertising pixels and no cross-site tracking on this site, and we do not use analytics data to build individual profiles.
  • No selling or renting your data. Not to data brokers, not to partners, not in any form.
  • No feeding your information to AI models for training. We consult on AI; we do not use your submissions as training data, and we do not send your form submissions or diagnostic answers to third-party AI providers.

Who processes your data

We use a small set of vendors to operate. Each receives only what it needs to do its job:

  • Vercel — hosting and content delivery. Handles all requests to this site.
  • Neon — the managed Postgres database where inquiries, subscribers, and engagement records are stored.
  • Resend — sends our transactional and newsletter email.
  • Cal.com — scheduling. If you book a discovery call you leave our site for theirs, and their privacy policy governs what you enter on it.

We may also disclose information if the law requires it, or to protect our rights or someone's safety. If that ever happens and we are permitted to tell you, we will.

How long we keep it

  • Inquiries and diagnostic submissions — up to three years from your last contact with us, then deleted. If a conversation clearly goes nowhere, usually much sooner.
  • Newsletter subscribers — until you unsubscribe.
  • Client engagement records — up to seven years after the engagement ends, because we need them for tax, accounting, and professional-liability purposes.
  • Server logs— on our host's standard rolling retention, a matter of weeks.

Your rights

Wherever you live, you can ask us to show you what we hold about you, correct it, delete it, or stop emailing you. Email privacy@mcleanaisolutions.com and we will respond within 30 days. We will not charge you for it and we will not make you jump through hoops.

Residents of California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws have these rights by statute, including the right to know what is collected, to have it deleted, to correct it, and not to be discriminated against for exercising them. We do not sell personal information or share it for cross-context behavioral advertising, so there is no opt-out to offer — there is nothing to opt out of.

Security

Data is transmitted over HTTPS and stored with encryption at rest by our database provider. Access to client data is limited to what is needed to deliver the engagement. No system is perfectly secure, and anyone who tells you otherwise is selling something; if we ever learn of a breach affecting your information, we will notify you promptly.

Children

This is a service for businesses. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we will delete it.

Changes to this policy

If we change how we handle your data, we will update this page and the “last updated” date above. Material changes will be called out to newsletter subscribers by email rather than buried in a silent edit.
